Artist Terms & Conditions

Grainthorpe Festival of Arts — August Bank Holiday Exhibition

These terms apply to all artists registering to exhibit at the Grainthorpe Festival of Arts. By submitting a registration form (online or paper) you confirm that you have read, understood, and agree to all of the following terms. Please read them carefully before registering.

1  Registration & Entry Fee
  • The entry fee is £8 per entry, payable by bank transfer after submitting the registration form.
  • Your entry is confirmed only once payment has been received and acknowledged by email from the organisers. Submitting the form alone does not reserve a place.
  • The entry fee is non-refundable if you subsequently decide not to exhibit, unless exceptional circumstances apply at the organisers' discretion.
  • Registration should be completed at least 6 weeks before the event to allow time for payment confirmation and catalogue preparation.
2  Artwork Eligibility
  • Only the exhibitor's own original artwork may be submitted. Work produced by others, AI-generated images, or reproductions of other artists' work are not eligible.
  • All work displayed must be for sale at the price shown in the catalogue.
  • All artwork must be kept within the realms of public decency. The organising committee reserves the right to remove any work it considers unsuitable for public display, including around children.
  • The committee reserves the right to refuse any entry without obligation to give a reason.
3  Exhibition Entitlement

Each entry (£8) entitles the artist to exhibit up to:

  • 6 framed works
  • 10 unframed pieces
  • 30 greeting cards

Artists wishing to exhibit more work may purchase additional entries at the same rate, subject to availability of display space.

4  Artwork Details & Catalogue
  • Full artwork details (title, medium, dimensions, and price) must be submitted via the online artwork details form at least 6 weeks before the event.
  • The link to the artwork details form will be sent by email after payment confirmation.
  • Artwork titles and prices cannot be changed after the submission deadline.
  • Submissions received after the deadline cannot be included in the printed catalogue. The work may still be exhibited but will not appear in the catalogue and cannot carry a price label until confirmed by the organiser.
  • All prices must be in whole pounds. Pence are not permitted.
5  Dimensions & Presentation of Framed Work
  • Backing screens are 8 ft (2.44 m) high × 4 ft (1.22 m) wide. Work wider than 46 in (1.17 m) cannot be guaranteed to be hung and may need to be displayed on an easel or the floor.
  • Framed work must be properly prepared for hanging with a cord or wire strung between two strong fixing points on the back of the frame.
  • Glass clip frames are not acceptable as they present a safety risk and cannot be securely hung.
  • The condition and presentation of frames is the responsibility of the artist. Work presented in a damaged or unsuitable state may be refused by the organiser.
6  Delivery & Collection of Artwork
  • Artwork must be delivered to St Clement's Church, Grainthorpe, on the Thursday before the Festival between 5 pm and 7 pm.
  • The organisers will not arrange collection of artwork — artists must make their own delivery and collection arrangements.
  • Unsold artwork may not be removed until 5.45 pm on Bank Holiday Monday. Removal before this time is not permitted except with the express permission of the organiser.
  • Any artwork not collected at the agreed time will be stored at the artist's risk. The organisers cannot be held responsible for uncollected work.
7  Commission
  • A commission of 25% of the catalogue sale price will be deducted from all sales.
  • All commission received is donated to local village organisations including St Clement's Church.
  • Artists are responsible for ensuring their prices reflect the 25% commission deduction. The organiser will not adjust prices on the artist's behalf.
8  Payment of Sales Proceeds
  • After the event, the organisers will calculate each artist's share of sales (sale price less 25% commission) and pay out by the artist's chosen method.
  • Payment methods available: direct bank transfer or cheque by post.
  • If bank transfer is chosen, bank details will be collected separately after the event via a secure form. Do not include bank details on the registration form.
  • Payment will be made within a reasonable time after the event. The organisers will contact artists if there are any queries.
9  Liability & Insurance
  • Festival organisers take every reasonable care of works in their charge but cannot accept liability for loss or damage to artwork, however caused, while it is at the venue or in transit.
  • Artists are strongly advised to ensure their work is covered by their own insurance policy for the period it is held at the event.
  • Artists bringing their work to and from the event do so entirely at their own risk.
  • The organisers do not insure exhibitors' property and accept no responsibility for theft, accidental damage, or any other loss.
10  Selection & Display
  • Every effort will be made to display all submitted work.
  • If the number of entries or works exceeds the available display space, a selection may be made. The committee's decision in such cases is final.
  • The organiser reserves the right to reposition artwork to make the best use of available display space. The hanging arrangement is at the organiser's discretion.
11  Data Protection
  • By registering, you consent to your contact details being stored by the Grainthorpe Festival of Arts for event administration and catalogue purposes.
  • Your details will not be shared with third parties outside the organising committee, except as required by law.
  • Catalogue listings will include only the information you have explicitly consented to include at the time of registration.
  • You may request removal of your details at any time by contacting .

12  General
  • The organising committee reserves the right to amend these terms at any time. The version in force at the time of registration applies.
  • Any disputes regarding these terms should be raised in writing with the organiser at .
  • These terms are governed by English law.

By completing and submitting the registration form (online or paper), I confirm that I have read, understood, and agree to all of the above terms and conditions, and that I consent to my contact details being stored for event administration and catalogue purposes in accordance with the Privacy Policy.
