Crafter Booking Terms & Conditions

Grainthorpe Festival of Arts — May Day Fayre & August Bank Holiday Exhibition

These terms apply to all crafters booking a stall at the Grainthorpe Festival of Arts (May Day Fayre and/or August Bank Holiday Exhibition). By submitting a booking form (online or paper) you confirm that you have read, understood, and agree to all of the following terms. Please read them carefully before booking.

1  Stall Fees & Payment
  • Stall fees are £8 per table per event day:
    • May Day Fayre — £8 per table (one-day event)
    • Festival of Arts — £8 per table, per day attended (Saturday, Sunday, and/or Monday)
  • Payment is due by bank transfer after submitting the booking form.
  • Your place is confirmed only once payment has been received and acknowledged by email from the organisers. Submitting the form alone does not reserve a place.
  • Additional tables beyond the first are available at the same rate, subject to availability (maximum 5 tables per booking).
2  Cancellation & Refunds
  • Stall fees are non-refundable once a place has been confirmed, except in the following circumstances:
    • Where a suitable replacement crafter is found — at the organiser's discretion.
    • Where the event is cancelled by the organisers due to circumstances beyond their control — a full refund will be given.
  • If you are unable to attend after confirmation, please notify the organisers as soon as possible at so that alternative arrangements can be explored.
3  Stall Allocation
  • The exact stall location and position within the venue is allocated by the event organiser. This decision is final and cannot be varied.
  • The organiser will endeavour to accommodate any reasonable requirements notified in advance (e.g. electricity, extra space for a large display unit). However, these cannot be guaranteed.
  • Only one table per booking is guaranteed unless additional tables have been requested, confirmed, and paid for.
4  Setup & Vehicle Access
  • Crafters must set up their stall in the morning before the exhibition opens to the public. The organiser will advise of the exact setup time closer to the event.
  • Vehicles may access the venue for unloading purposes only. Once unloaded, vehicles must be moved immediately to the official car park.
  • Parking outside stall areas is reserved for disabled access and must not be obstructed at any time.
  • Crafters are responsible for ensuring their vehicle does not damage the venue or obstruct emergency access routes.
5  Display & Conduct
  • Crafters are responsible for the set-up, security, and general appearance of their own stall throughout the event.
  • Craft work and sculpture will be displayed on open tables. Any special display requirements (e.g. shelving, racks, display stands) must be agreed in advance with the organiser.
  • Personal advertising materials (banners, flyers, signs) are not permitted within the church building. Tasteful table signage is acceptable.
  • Crafters are expected to maintain a tidy stall and behave in a manner that is respectful to other exhibitors, visitors, and the venue.
  • The organiser reserves the right to ask a crafter to modify or remove any display that is considered inappropriate or that is encroaching on a neighbouring stall's allocated space.
6  Labelling & Sales
  • Please label each item for sale alphabetically and provide a corresponding list of labelled items to the organiser.
  • A commission of 25% of the sale price is charged on all sales. All commission is donated entirely to village organisations.
  • Crafters are responsible for ensuring their prices reflect the 25% commission deduction. The organiser will not adjust prices on the crafter's behalf.
  • All prices should be clearly displayed to visitors.
7  Public Liability Insurance
  • Crafters are strongly encouraged to hold valid Public Liability Insurance (PLI) covering their activities at public events.
  • If you hold PLI, you must email a copy of your current certificate to before the event.
  • If you do not hold PLI, by signing below or submitting the online form you accept personal responsibility for any costs arising from damage caused to your own or others' property during the event, except where such damage is directly caused by negligence on the part of the event organisers.
8  Liability
  • The organisers cannot accept liability for loss, theft, or damage to crafters' goods, displays, or personal property, however caused, while at the venue.
  • Crafters display their goods and attend the event entirely at their own risk.
  • Crafters are responsible for ensuring their display is safe and does not present a hazard to visitors or other exhibitors.
  • Any incidents or near-misses must be reported to the organiser immediately.
9  Photography & Promotion
  • The event organiser may photograph stalls and displays for use in promotional materials, social media, and the event website.
  • If you do not wish your stall to be photographed, please advise the organiser at the time of setup.
10  Data Protection
  • By booking, you consent to your contact details being stored by the Grainthorpe Festival of Arts for event administration purposes.
  • Your details will not be shared with third parties outside the organising committee, except as required by law.
  • You may request removal of your details at any time by contacting .

11  General
  • The organising committee reserves the right to refuse a booking without obligation to give a reason.
  • The organising committee reserves the right to amend these terms at any time. The version in force at the time of booking applies.
  • Any disputes regarding these terms should be raised in writing with the organiser at .
  • These terms are governed by English law.

By completing and submitting the booking form (online or paper), I confirm that I have read, understood, and agree to all of the above terms and conditions, and that I consent to my contact details being stored for event administration purposes in accordance with the Privacy Policy.
